Upload Your Video Online

Email providers can't send a large MP4 as an attachment — the file is too big and most inboxes will block it. You need to host it online first, then share the link. This takes about two minutes.

Go to YouTube or Vimeo
Both are free. YouTube is easier to set up. Vimeo looks cleaner — no ads, no suggested videos around your invitation — which is worth the extra two minutes for a wedding.

Upload your MP4
Click the upload button, select your file, and wait 2–5 minutes for processing.
Important: Set privacy to "Unlisted" (YouTube) or "Private with a link" (Vimeo). This means only guests you send the link to can watch — it won't appear in search results or on your public profile.

Copy the link
Once processed, click Share and copy the URL. Save it somewhere handy — you'll use this link for whichever sending method you choose below.


Paperless Post

Guests receive a personalised invitation email with your video linked prominently. You track RSVPs, meal choices, and who has and hasn't opened their invitation — all from a clean host dashboard. Pricing uses a Coins system: roughly $46–$57 for 100 guests depending on the design template chosen.

Setting Up Your Invitation
  1. Create a free account at paperlesspost.com — no payment needed to start
  2. Choose a design template — click Cards > Weddings. Simpler templates cost fewer Coins; premium designs cost more
  3. Add your event details — names, date, time, venue, dress code. Everything is fully customisable
  4. Link your video — in the message body, type something like "Watch our personal message to you" and hyperlink those words to your video URL. This is how guests access your Main Event Studio video directly from the invitation
  5. Set up your RSVP form — enable RSVP collection in the editor. Add meal options (Chicken / Fish / Vegan) and a dietary notes field
  6. Upload your guest list — enter email addresses one by one or upload a spreadsheet. Paperless Post personalises each invitation with the guest's name
  7. Check the Coin cost — the running total appears in the top bar before you pay. Use the Coin Calculator to estimate your final cost
  8. Purchase Coins and send — Coin packs start at $12. Once sent, track opens, RSVPs, and meal responses from your dashboard

Creating Your Event
  1. Create a free account at rsvpify.com
  2. Click "Create Event" and choose Wedding as the event type
  3. Fill in your event details — names, date, venue, time, dress code
  4. Link your video — in the event description, add a line like "A personal message from us" and link it to your video URL. You can also add it as a prominent button
  5. Set up your RSVP form — add meal choice as a custom question (Chicken / Fish / Vegan) and a free-text dietary notes field
  6. Enable invite-only access — under Privacy, turn on "Invite only." Only guests on your list can RSVP; anyone else who finds the link sees a closed form
  7. Add your guests — enter guests individually, in couples or families, or import from a spreadsheet. Assign plus-ones per household
  8. Send invitations — RSVPify can send personalised emails directly, or copy the event link and paste it into your own messages
  9. Monitor your dashboard — see attending, declined, pending, meal totals, and which guests haven't opened their invitation yet
  10. Send reminders — one click sends an automated reminder only to guests who haven't replied, without messaging anyone who already responded
  11. Export for your caterer — download a CSV with guest names and meal choices to hand directly to your venue
